Documents Required for MSME Loan in India — Complete Checklist 2026

One of the most common reasons MSME loan applications get delayed — or rejected — is incomplete documentation. Banks have a fixed checklist. If even one item is missing, the file goes to the back of the queue.

This guide gives you the complete, bank-ready document list for every major MSME loan type, along with tips on what banks actually look for.

Why Documentation Matters

Banks assess two things when they sanction a loan:

  1. Can you repay? (financials, turnover, existing loans)
  2. If you can't, can we recover? (collateral, guarantees)

Every document on the checklist answers one of these questions. A clean, complete file can reduce sanction time from 6 weeks to 2 weeks.


KYC Documents — For All MSME Loans

These are required regardless of loan type:

Promoter / Director / Partner KYC

  • PAN card (mandatory)
  • Aadhaar card or Passport (address proof)
  • 2 passport-size photographs

Business KYC

  • PAN card of the firm / company
  • GST Registration Certificate
  • MSME / Udyam Registration Certificate
  • Shop & Establishment Certificate or Factory Licence
  • Partnership Deed / MOA + AOA (for Pvt Ltd companies)
  • Board Resolution authorising loan (for companies)

Financial Documents

Banks need 3 years of financials for loans above ₹25 Lakh.

For Proprietorships and Partnerships

  • Last 3 years' ITR with computation (promoter + business)
  • Last 3 years' audited Balance Sheet and Profit & Loss statement
  • CA-certified financials if not audit-mandatory

For Private Limited Companies

  • Last 3 years' ITR (company)
  • Last 3 years' audited Balance Sheet, P&L, Notes to Accounts
  • Directors' ITRs for the last 3 years

Bank Statements

  • Last 12 months' statements for all current and savings accounts
  • Existing loan account statements (if any)

Business-Specific Documents

For term loans (new unit or expansion)

  • Project Report / Detailed Project Report (DPR)
  • Land / shed ownership documents or registered lease deed
  • Building plan approval (if constructing)
  • Quotations from machinery suppliers (on letterhead)
  • Pollution clearance / consent to establish (for applicable industries)

For machinery loans

  • Supplier quotations (2–3 if possible)
  • Technical specifications of machinery
  • Import licence / DGFT paperwork (for imported machinery)

For working capital (cash credit / OD)

  • Stock statement (current)
  • Debtors and creditors statement
  • Last 3 years' GST returns (GSTR-3B / Annual Return)
  • Receivables ageing statement

For CGTMSE (collateral-free loans)

  • Same as above — no property papers needed
  • CGTMSE application is processed by the bank; you don't apply separately

Property / Collateral Documents

Required for secured loans (LAP, CC against property, etc.):

  • Sale deed / title deed of the property
  • Latest property tax receipt
  • 7/12 extract or RTC (for agricultural land in Gujarat)
  • NA (Non-Agricultural) order if land has been converted
  • Encumbrance certificate (EC) for last 15 years
  • Approved building plan
  • Valuation report (bank arranges this, but you need ownership docs)

Subsidy-Related Documents (If Applying for Gujarat Incentives)

If you're also claiming Gujarat capital subsidy, interest subsidy or SGST refund:

  • Provisional registration under Gujarat Industrial Policy
  • Investment intention letter
  • CA certificate for fixed capital investment
  • Commencement of production certificate

Common Documentation Mistakes

1. Mismatch in names or addresses Your PAN, GST and bank account must show the same entity name. Discrepancies cause delays.

2. ITR filed but not verified An ITR that hasn't been e-verified or physically signed is not accepted by banks.

3. Outdated financials Banks want financials for the year ending March 2025 (or March 2026 if available). Anything older needs explanation.

4. Missing MSME / Udyam registration Without Udyam, you lose access to CGTMSE, priority-sector benefits and lower processing fees.

5. Unsigned or unstamped documents Partnership deeds must be stamped and signed. Board resolutions must carry the company seal.
